US Invoice Generator — Free, No Signup Needed

# US Invoice Generator — Free, No Signup Needed

Invoicing in the US has its defaults: dollars, Letter paper, and clients who expect to pay by ACH, check, Zelle, or Venmo. This free invoice generator comes set up for all of it. USD is the default currency, Letter is one click away in Settings, and your payment details go on the invoice. No account needed.

How to create a US invoice

  1. Open the generator. The currency is already USD, so American totals look right from the start. If you ever bill abroad, 35 currencies are one dropdown away.
  2. Set Letter paper size. Click the Settings button in the toolbar and pick Letter. US clients print on Letter, not A4, and you want the PDF to fit their printer.
  3. Add your payment methods. List what you accept: ACH details, a check mailing address, your Zelle email or phone, Venmo username, Cash App cashtag, or PayPal. More options means fewer excuses for delay.
  4. Fill in the invoice. Your business info, the client’s billing details, a unique invoice number, issue and due dates, and line items with rates.
  5. Download the PDF and send it. The PDF is generated locally in your browser, so your client data never leaves your computer. Put the invoice number and due date in your email subject line.

What to include on a US invoice

  • Your business name, address, phone, and email: clients need a way to reach you with questions
  • The client’s name and billing address: use the company entity for business clients
  • A unique invoice number: sequential, never reused, even if an invoice is voided
  • Invoice date and payment due date: print the due date as a calendar date
  • Detailed line items: what you did, how much of it, at what rate, with the math shown
  • Subtotal and total in USD: state the currency so there’s no ambiguity
  • Sales tax, only if it applies to you: rates vary by state and locality, so enter your own; this isn’t tax advice
  • The payment methods you accept: ACH, check, Zelle, Venmo, Cash App, PayPal, or whichever mix you use
  • Late payment terms, if you use them: a 1.5% monthly fee on overdue balances is common, stated up front — late fees are mostly governed by your contract and state law (the federal Credit Practices Rule that restricts late charges applies to consumer credit contracts, per the FTC, not business-to-business invoices)
  • A brief thank-you or terms note: keeps the tone professional without adding clutter

What US clients expect to see

American invoices follow a familiar shape. The invoice number goes near the top where accounting can spot it, dates are written out, and the total is labeled clearly as “Balance Due,” so nobody hunts for the number that matters.

The biggest US-specific expectation is remittance information. American clients want to know exactly how to pay you, and they want it on the invoice itself. That means your ACH routing and account details, your check mailing address, or your app handles, printed right under the total. An invoice that says what you owe but not how to pay is the most common reason payments stall.

You generally don’t need your EIN. Invoices aren’t tax filings, and if a client needs your tax details they’ll request a W-9 separately.

Sales tax on US invoices, briefly

The US has no VAT. Sales tax is set at the state level, and counties and cities sometimes add their own. Whether you charge it depends on where you are, where your client is, and what you’re selling.

Because the rules are local, the generator doesn’t assume anything. There’s a tax field on every line item and on the invoice, and you enter whatever rate applies. This is not tax or legal advice. If you’re unsure whether your work is taxable, ask a tax professional in your state.

Getting paid: US payment methods that work

For business clients, ACH bank transfer is the workhorse. It’s cheap, traceable, and accounting departments process it without blinking. Put your routing and account numbers on the invoice.

Paper checks are still normal, especially with established companies. Print the exact payee name and mailing address. A check made out slightly wrong can sit uncashed for weeks.

For faster or smaller payments, apps rule. Zelle moves money between bank accounts in minutes. Venmo and Cash App are everyday tools for freelancers, and PayPal remains the fallback everyone recognizes. List two or three options rather than all six.

US paperwork rules worth knowing

1099s. If a business client pays you $2,000 or more for services in 2026, they’ll generally report it to the IRS on Form 1099-NEC, due January 31 — and your invoices are the records they work from, so keep invoice numbers, dates, and your EIN consistent. (The threshold was $600 before 2026; older articles haven’t caught up.) IRS Publication 1099. This is not tax advice.

Sales tax on services. There is no federal sales tax — states write their own rules, and they differ. Texas taxes a defined list of services; California generally doesn’t tax repair or installation labor. The generator gives every line its own tax rate and a per-line taxable toggle, so set them to your state’s rules. Texas Comptroller, California CDTFA. This is not tax advice.

Getting paid faster. ACH is the quiet workhorse of US business payments — Nacha estimates 80% of ACH payments settle in one banking day or less, and an ACH credit costs about 12 cents versus roughly $2 to issue a check. Put your ACH or bank details on the invoice itself, and clients who’d otherwise “send a check” often click instead. Nacha.

Keep your invoices. The IRS lists invoices among the supporting records you should retain, and generally recommends keeping tax records at least three years (employment tax records at least four). Innvoic’s unlimited history and CSV export live on your own device, so a record-keeping habit costs nothing extra. IRS.

To put those payment details on the invoice itself, use the invoice generator with payment details — ACH and wire details as text, and PayPal.Me, Venmo, or Cash App with QR codes in the on-screen preview. The downloaded PDF lists the payment method as text.

Frequently asked questions

Do I have to charge sales tax on my US invoices?

It depends on your state, your locality, and what you’re selling. Many professional services aren’t taxed, while goods usually are. The generator leaves the rate entirely up to you. This isn’t tax advice, so check with a tax professional if you’re unsure.

What paper size should US invoices use?

Letter (8.5 by 11 inches). Open Settings and select Letter. US printers default to Letter, so your PDF prints cleanly.

Which payment methods should I list for US clients?

Offer two or three: ACH transfer for business clients, plus Zelle, Venmo, Cash App, or PayPal for speed. Print the actual details so nobody emails asking how to pay.

Do I need to put my EIN on an invoice?

Generally no. Invoices aren’t tax filings. If a client needs your tax information, they’ll ask for a W-9, which is a separate document.

Can I invoice a US client in a different currency?

Yes. The generator supports 35 currencies. Just state the currency clearly on the invoice to avoid confusion at payment time.

Is this US invoice generator really free?

Yes. Unlimited invoices, PDF downloads, client history, and payment QR codes in the preview, all free with no account required. — Related: – https://innvoic.com/tax-invoice-generator/ – https://innvoic.com/invoice-generator-with-logo/ – https://innvoic.com/freelance-invoice-generator/ – https://innvoic.com/contractor-invoice-generator/ – https://innvoic.com/invoice-templates/ – https://innvoic.com/guides/ – https://innvoic.com/best-free-invoice-generator/
