What is the difference between a quote and an invoice?
A quote is a price you offer before work starts. An invoice is a request for payment after the work is done or agreed. You can turn a quote into an invoice when the client accepts.
When do I use a proforma invoice?
When you need payment before delivering — deposits, custom-made goods, or international orders. It is not a demand for payment in the same way a final invoice is, so label it clearly.
Do I need a separate receipt?
Only if the client asks for proof of payment. The receipt generator marks what was paid, when, and how — useful for cash and bank-transfer jobs.
What goes on a tax invoice?
Your business details, the client’s details, a unique invoice number, dates, line items, and the tax charged. Tax rules differ by country — this is not tax advice, so check your local rules.
Is a retainer the same as a deposit?
Close. A deposit secures a booking; a retainer pays for future work or availability, often monthly. Both are agreed before work starts and should be in writing.

Invoice types explained
Not all invoices are the same. The right type depends on what you’re billing for and when payment is due.
By purpose
- Standard invoice — request payment for work done. The default; use the free invoice generator.
- Tax invoice — includes your tax registration number and the tax amount, for GST/VAT-registered businesses. See the tax invoice generator.
- Proforma invoice — a preliminary bill sent before work begins, not a demand for payment. Common in international trade.
- Retainer invoice — fixed recurring fee for ongoing availability. See the retainer invoice generator.
- Quote — fixed-price commitment before work starts. See the quote generator.
- Estimate — approximate price when scope is uncertain. See the estimate generator.
- Receipt — proof of payment received, sent after payment. See the receipt generator.
Which one do you need? If the work is done and you want to be paid, send a standard invoice. If you’re tax-registered and the buyer needs to claim credits, send a tax invoice. If the price isn’t final yet, send a quote (fixed) or estimate (approximate).
