VAT Invoice Generator for the UK — Free

By Innvoic

Invoicing from the UK? Then the invoice should look like one: £ symbols, dates in day-month-year, “VAT” labelled plainly, and a tidy A4 document that prints properly. This generator gives you VAT percentage fields per line item and for the whole invoice, with net, VAT and gross shown as separate, labelled totals. Add your rate and the arithmetic is automatic. Free, no account, no watermark. Your invoices are made in your browser and your data never leaves your device.

Invoicing the British way

Small details make an invoice feel right to a UK client: the £ symbol, dates in day-month-year, “VAT” spelled out, and an A4 page that prints properly (£1,220.40, not $1,220.40). This generator covers all of it. Set VAT per line for mixed-rate work or once for the whole invoice; the preview shows net, VAT and gross as separate, clearly labelled totals. Invoice numbers follow your prefix automatically, payment terms (“Payment due within 14 days”) are editable, and a late-payment note drops into your terms with one click. Amounts can be shown in words for formality, and the PDF is ready to email or hand to your bookkeeper, whether that’s a spreadsheet or your accountant’s portal.

Your VAT rate, your responsibility

An honest note. This tool does VAT arithmetic perfectly, but it doesn’t know your VAT scheme and it doesn’t claim compliance with HMRC rules. Whether you charge 20%, 5%, 0% or no VAT at all depends on your registration, your flat-rate scheme and what you’re selling. That’s your call, or your accountant’s. What the generator gives you is the machinery: per-line and invoice-level VAT percentages, automatic tax totals, itemised lines where you can note rates, and a professional document to put them on. If you’re registered, enter your VAT number in your business details. Set the rate that applies. The invoice does the rest.

Is this VAT invoice generator free in the UK?

Yes. GBP formatting, VAT % fields and PDF download are all included at no cost, with no signup required.

How do I add VAT to my invoice?

Enter your VAT percentage per line item or once for the whole invoice. Net, VAT and gross totals calculate automatically and show as separate, labelled totals on the invoice.

Can I put my VAT number on the invoice?

Yes. Add it to your business details (for example in the address field or notes) and it appears on every invoice and PDF you generate.

Does it handle the 20% UK VAT rate?

You set whatever rate applies to your work: 20%, 5%, 0%, or exempt. The tool does the arithmetic; your VAT scheme and registration remain your decision.

UK VAT basics

VAT (Value Added Tax) is the UK’s consumption tax, charged at each stage of the supply chain and administered by HM Revenue & Customs (HMRC). It applies to most goods and services sold in the UK, and businesses collect it on the government’s behalf — the end consumer ultimately bears the cost.

The UK has three VAT rates. The standard rate is 20% and covers most goods and services. The reduced rate is 5%, applying to items such as domestic gas and electricity, children’s car seats, and sanitary products. The zero rate is 0% — charged on children’s clothing, books, and most food — and zero-rated sales still count as taxable turnover even though no VAT is collected on them.

You must register for VAT once your taxable turnover exceeds £90,000 in any rolling 12-month period — a threshold in place since 1 April 2024. There is also a forward-looking test: if you expect to pass £90,000 in the next 30 days alone, registration is immediate. Once registered, you charge VAT on taxable sales, issue VAT invoices, and file quarterly returns. You can apply to deregister if turnover falls below £88,000.

Record-keeping is digital by law. Making Tax Digital has required VAT-registered businesses to keep digital records and file through MTD-compatible software since April 2022. From 6 April 2026, Making Tax Digital extends to Income Tax self-assessment for sole traders and landlords with qualifying income (gross self-employment plus property income, before expenses) over £50,000 — stepping down to £30,000 in April 2027 and £20,000 in April 2028.

A practical note for your invoices: a UK VAT number takes the format GB followed by 9 digits, and VAT-registered businesses should show it on their invoices. Set whatever rate applies to your work — 20%, 5%, 0%, or exempt — and note that your VAT scheme and registration remain your decision, or your accountant’s. This tool does the arithmetic; it does not determine your obligations to HMRC.
