Cleaning Invoice Generator — Free, No Signup

By Innvoic

The same three houses every Tuesday. Two offices every other Friday. A cleaning business runs on a calendar, and the invoicing should follow that calendar instead of fighting it. Four visits a month means four near-identical invoices. Then a move-out clean lands and suddenly nothing matches the template. This free cleaning invoice generator handles both sides: duplicate your last invoice in seconds, bill per visit or per hour, and put supplies on their own lines so the client sees what was used in their home. It runs in the tab. No account, nothing to install. The PDF downloads clean.

See what the finished PDF looks like: Download a sample cleaning invoice (PDF). Sample invoice generated with the Innvoic tool using fictional details. Downloaded PDFs carry a one-line footer credit beginning “Generated free with Innvoic” — no watermark across the document.

Line items that match recurring service

Bill the visit the way you quoted it. A per-visit client gets one flat line: “Weekly house clean: $120.” Simple enough that plenty of clients will just set it to auto-pay. Hourly jobs use the Hours unit: “Deep clean: 5 hours × $35” does the math for you. Supplies belong on their own lines with quantities. Eco-friendly products, laundry detergent, the specialty floor cleaner. Itemized like that, the client reads it as “what was used in my house,” not a markup. One-off jobs (move-out cleans, post-renovation) get detailed invoices of their own, while the recurring visits stay identical month to month. And the “10% off for biweekly clients” deal is an invoice-level discount, so your base rate never moves.

A monthly regular, on one invoice: weekly clean, 4 visits × $120 = $480. Supplies used in the home on their own lines — eco spray $9, specialty floor cleaner $7. The 10% loyalty discount comes off the invoice total (−$49.60), leaving $446.40. The client sees the visits, the products, and the deal they’re getting — in that order.

Repeat invoices in seconds, not minutes

The economics of a cleaning business are volume. Dozens of clients, each expecting the right invoice on the same day of the month. The client database stores every client’s details and billing setup. Invoice history keeps last month’s invoice one tap away. Duplicate it, fix the date, done. Mark each invoice sent, paid, or overdue, so the client who “forgot” three weeks running stands out before you notice the cash-flow hole. The reminder templates write the chase email for you. Gentle, firm, final. Pre-filled with the invoice details. And CSV export hands you the month’s revenue per client at a glance.

Invoice between jobs, from your phone

You do cleaning admin in the car between houses, not at a desk. The generator runs in the browser with a mobile layout and a sticky bottom bar. No app, no logging in with gloves on. Finish the clean, duplicate the client’s invoice, add the extra bathroom line if the job ran long, and email it from the driveway through your own mail app. Or download the PDF. Stick a QR payment code in the on-screen preview (UPI, PayPal.Me, Venmo, or bank details) and plenty of clients pay before you reach the next house. The downloaded PDF lists the payment method as text. Same-day invoices are the difference between steady cash flow and end-of-month chasing.

Two mistakes that cost cleaning businesses money

Sending four invoices where one monthly invoice would do. Regulars don’t want four emails a month. One invoice listing all four visits is easier to pay — and gets paid faster.

A single “supplies” lump line. Itemized, supplies read as “what was used in my house.” Lumped, the same $16 reads as padding.

Should I bill cleaning per visit or per hour?

Per visit for recurring work. You and the client both know the number before you walk in, and it’s the easiest thing to auto-pay. Go hourly for deep cleans, move-outs, and first visits, where the time varies. The generator lets both live on one invoice.

How do I invoice recurring weekly clients?

Save the client once. Every billing cycle, duplicate last month’s invoice from your history, roll the date forward, and send. That’s the whole routine.

What should be on a cleaning invoice?

The service (per visit, or hours × rate), supplies as their own lines, extras like laundry or inside-the-fridge work, the invoice number and dates, and your payment terms.

Can I invoice a client from my phone between jobs?

Yes. It runs in any mobile browser with a sticky bottom bar, no signup and no install. Email the invoice from the driveway or download the PDF on the spot.

What a cleaning invoice should include

A cleaning invoice should show the service date, the type of cleaning (regular, deep clean, move-out), and the areas serviced. For recurring clients, list the billing period (“Week of Oct 20-26”) rather than just a date. If you charge for supplies separately, list them — otherwise note “supplies included.” Include your cancellation policy (commonly 24-48 hours notice) and any no-show fee terms.

Worked example: $600.00 monthly recurring (illustrative)

This is an illustrative example, not a market price. Weekly office cleaning:

  • Weekly office cleaning (4 visits at $140.00): $560.00
  • Supplies surcharge (restroom consumables): $40.00
  • Subtotal: $600.00 ($560.00 + $40.00)
  • Tax: $0.00 (service-only; check local rules for supply tax)
  • Total due: $600.00

Cleaning business billing mistakes

  • Not tracking supplies: If you provide toilet paper, trash bags, or soap, either build it into your rate or list it separately. Don’t give it away.
  • Vague scheduling: “Weekly cleaning” should specify the day. Invoice for the exact dates serviced to avoid “I thought you came Tuesday” disputes.
  • No cancellation terms: State your policy on the invoice: “Cancellations within 24 hours incur a 50% fee.” It prevents most no-shows.
