Moving Company Invoice Generator — Free, No Signup

By Innvoic

A moving invoice is a bundle of unlike things: crew hours, a truck fee, packing materials by the box, valuation coverage. You quote it as an estimate weeks before the move and settle it as an invoice on the day. Customers compare movers on clarity almost as much as price: the company whose quote breaks down every charge wins the job, and the company whose invoice matches the quote gets paid without a fight. This generator handles both halves: estimates up front, invoices after, with deposits, partial payments, and per-line detail. No signup, no fees, and the PDF downloads clean.

Estimates first, invoices that match

Start every job as an estimate, one of the built-in document types alongside invoice, quote, proforma, and receipt. Walk the customer’s home (or video-call it), then itemize: crew rate per hour × crew size, truck or vehicle fee, packing materials by quantity (boxes, tape, mattress covers, wardrobe cartons), valuation coverage as its own line so the customer sees it is optional and priced. When they book, the estimate becomes the invoice with the same line items. No retyping, no “that’s not what you quoted.” If the move runs long, add the extra crew hours to the final invoice; with the estimate on record in My Invoices, the adjustment reads as a documented change, not a surprise.

A two-bedroom apartment move, invoiced: crew of 3, 4 hours × $45 per mover-hour = $540. Truck fee $120. Packing materials $65. Full-value protection $250. Total $975 — with the $300 deposit already recorded as a partial payment, the balance due on delivery day reads $675. The client sees the whole move in eight lines, and the number at the bottom surprises nobody.

Deposits and the balance-due workflow

Movers live on deposits, usually a flat booking fee or a percentage up front to reserve the truck and crew. Issue the deposit request as a proforma invoice, record the payment when it lands, and it carries forward as a credit on the final invoice through partial payments. On moving day the customer pays the balance; record it and the invoice flips to paid with the full history intact: deposit, balance, dates, adjustment lines. Corporate relocations billed to an employer produce the same clean paper trail finance departments want: estimate, proforma deposit, final invoice, receipt. Everything stays in the invoice history with its status, exportable to CSV when tax season or an audit comes around.

Line items that fit a moving job

Real moving charges slot naturally into itemized lines: “3-person crew: 5 hours x $120/hr,” “26-ft truck: flat $180,” “Large boxes: 30 x $4,” “Packing service: 4 hours x $45/hr,” “Full-value protection: $250.” Long-distance moves add weight or mileage lines; storage jobs add per-month lines. Invoice-level discount let you show a seasonal or repeat-customer reduction without hiding the real rates. Invoice-level tax applies cleanly where the jurisdiction taxes the service. Add the crew chief’s notes (elevator reservation times, parking permits, items excluded from valuation) in the notes field, and payment terms (including the late-fee clause toggle) in terms. The invoice doubles as the job record.

Two mistakes that cost moving companies money

Estimating by the room, then invoicing by the hour with no bridge between them. When the final number beats the estimate, the invoice itself has to explain why — extra hours and extra items as their own lines, matching the estimate’s structure.

Forgetting to credit the deposit on the final invoice. The fastest way to turn a smooth move into a payment dispute. Record the deposit as a partial payment the day it lands, and the balance due is right when it matters.

Should a moving company send an estimate or an invoice first?

An estimate first. It is the quote the customer compares and approves. Convert it to the final invoice after the move with the same line items, so the bill matches what was agreed and adjustments look like documented changes.

How do moving company deposits work?

Take a flat booking fee or a percentage up front, requested through a proforma invoice to reserve the date. Record it as a partial payment so it credits automatically against the final balance.

What should be on a moving invoice?

Crew hours × rate, truck or vehicle fee, packing materials by quantity, valuation coverage, and any extra services. Match the final invoice’s line items to the approved estimate.

Can I invoice a customer on moving day from my phone?

Yes. It works in any mobile browser, no signup or install, with a sticky bottom action bar. Email the invoice or download the PDF before the truck pulls away.
