Consulting Invoice Generator — Free, No Signup

By Innvoic

Nobody invoices like a consultant. Day rates for the strategy engagement. Flights, hotels, and the client dinner that have to pass through at cost. A retainer that quietly turns into project work. And a corporate client whose accounts-payable team expects the invoice to look like it came from a firm, even when it’s just you. This free consulting invoice generator produces exactly that: day-rate billing, expense lines, and line items clean enough for AP. No account to create, nothing to install. You get a clean PDF.

See what the finished PDF looks like: Download a sample consulting invoice (PDF). Sample invoice generated with the Innvoic tool using fictional details. Downloaded PDFs carry a one-line footer credit beginning “Generated free with Innvoic” — no watermark across the document.

Line items that match consulting engagements

Bill the way the SOW reads. Day-rate work uses the Days unit: “Strategy workshop: 3 days × $1,800/day” does its own math. Hourly advisory slots use the Hours unit. Expenses go on as separate at-cost lines. Flights, accommodation, mileage, each with the receipt noted in the line description so finance files them without emailing you questions. Invoice-level discount show the preferred-client rate openly instead of quietly dropping your day rate. Fixed-fee projects get a flat line that keeps the invoice to one page, with the deliverables listed in the notes. Every line shows its own subtotal in the preview. That’s the format procurement departments expect.

A two-week engagement, invoiced: discovery, 2 days × $1,200 = $2,400. Workshop facilitation, flat $1,500. Expenses at cost, receipts noted on each line — flight $340, hotel $180. The 10% preferred-client discount shows openly against the consulting lines (−$390), so the total reads $4,030 and finance can file every piece without emailing you a single question.

Retainers and expenses, handled cleanly

The retainer is consulting’s core billing rhythm, and it works two ways. For a monthly retainer, raise one invoice per period with the days or hours consumed itemized. Rollover or overage becomes a line on the next one. For project work against a signed estimate, the estimate document type makes the quote, and the final invoice mirrors its line items. The client’s budget holder sees exactly what they approved. Expense reimbursements ride on the same invoice as separate zero-margin lines. The client pays one total while their books split fees from costs correctly. Every invoice keeps its status in history. CSV export hands your bookkeeper the year’s billables in one file.

Professional from your phone, paid like a firm

Consulting admin happens in airports, client lobbies, and hotel rooms. The generator runs entirely in the browser with a mobile layout and a sticky bottom bar. No app, no login, no firm laptop required. Email the invoice the day the engagement wraps through your own mail app, or download the PDF and attach it to the client’s vendor portal. Add a QR payment code to the on-screen preview or bank details for direct settlement. The downloaded PDF lists the payment method as text. Set Net-30 terms with the late-fee clause toggled on. Keep the client in the database so the next invoice starts pre-filled. Corporate clients pay on schedule. Hand their AP team an invoice that’s already the right shape.

Two mistakes that cost consultants money

Absorbing expenses into the day rate. Procurement will ask for receipts anyway. Expenses at cost, receipt noted per line, get reimbursed cleanly; expenses buried in a rate get negotiated.

Invoicing the whole engagement at the end. Six weeks of work on one invoice is six weeks of payment risk. Bill by milestone — the line items already break that way.

How should a consultant structure an invoice?

Mirror the SOW. Day-rate or hourly lines for your time, expenses as separate at-cost lines, a flat line for fixed-fee deliverables. Then the admin bits: invoice number, dates, the PO number if the client requires one, and your payment terms.

How do I bill expenses back to a client?

Each expense gets its own line at cost, with a short description and a receipt reference in the notes. They sit on the same invoice as your fees, so the client pays one total and their books still split fees from costs correctly.

What’s the difference between retainer and project invoicing?

A retainer invoice bills recurring access or a monthly block of time. A project invoice bills a defined deliverable. The generator does both: repeat the monthly retainer, or issue one-off project invoices against an estimate.

Can I invoice from my phone while traveling?

Yes. Any mobile browser, no signup or install, sticky bottom bar for small screens. Email the invoice the day the engagement wraps, or download the PDF and drop it in the client’s vendor portal.

What a consulting invoice should include

A consulting invoice should state the billing model: hourly, project-based, or retainer. For hourly, list dates, hours, and rate. For project work, reference the milestone or deliverable. Itemize expenses separately — travel, software, subcontractors — with receipts attached. If you’re on retainer, show the period covered, hours used vs included, and any overage. Net 15 or Net 30 terms are standard; late fees are commonly 1.5% per month (check your contract).

Worked example: $4,050.00 strategy engagement (illustrative)

This is an illustrative example, not a market price. Three-day strategy workshop:

  • Consulting — strategy workshop, 3 days at $1,200/day: $3,600.00
  • Expenses — travel and accommodation: $350.00
  • Expenses — workshop materials: $100.00
  • Subtotal: $4,050.00 ($3,600.00 + $350.00 + $100.00)
  • Tax: $0.00 (service export; check local rules)
  • Total due: $4,050.00 (Net 15)

Consulting billing mistakes

  • Scope creep without a change order: “Just one more analysis” becomes 20 hours. Document out-of-scope work and bill it separately.
  • Lumping expenses: List each expense. Clients approve $350 travel + $100 materials; they question a $450 “expenses” blob.
  • No milestone linkage: Tie each invoice to a deliverable: “Phase 1 discovery complete.” It accelerates payment.
