Virtual Assistant Invoice Generator — Free, No Signup

By Innvoic

You don’t sell a product. You sell hours, scattered across clients, tasks, and retainer agreements. This free virtual assistant invoice generator is built for that: hourly line items with hours × rate calculated automatically, retainer packages as fixed monthly lines, a client database that keeps every client’s billing separate. You don’t sign up for anything. It runs in the browser. The PDF comes out clean. Invoice all your clients in one sitting at month-end.

See what the finished PDF looks like: Download a sample virtual assistant invoice (PDF). Sample invoice generated with the Innvoic tool using fictional details. Downloaded PDFs carry a one-line footer credit beginning “Generated free with Innvoic” — no watermark across the document.

Line items that match how VAs actually bill

VA billing has two shapes. Hourly work: one line per task or per week. “Inbox management: 12 hours × $28.” Hours are a native unit, so the math is never manual. Line-item notes carry the detail that justifies the hours: “week of Oct 12–18, includes calendar cleanup.” Retainer packages: a fixed monthly line for the agreed hours (“20-hour monthly retainer: $900”), with additional hours beyond the retainer as a separate overage line at the agreed rate. Invoice-level discount handle the “first month 10% off” offer without touching your real rates. Clients billed in different currencies get the generator’s 35-currency support, each invoice in the client’s currency.

One client, one month: 20-hour retainer $900, billed as a single line. Overage beyond the retainer, 6 hours × $45 = $270, on its own line at the agreed rate. Total $1,170. The client sees the retainer doing its job and the overage priced exactly as agreed — no spreadsheet of timestamps attached, no “trust me” totals.

Month-end billing across many clients

The client database is the VA’s real weapon. Every client saved with their rate, currency, and terms. Month-end becomes pull-up-client, enter-hours, send. Not rebuilding invoices from scratch. The invoice history keeps each client’s invoices with statuses (draft, sent, paid, overdue), which is how you spot the client who’s always two weeks late without digging through email. Late payers get the late-fee toggle and the built-in payment-reminder templates. Gentle, firm, final. Chasing money stops being a whole second job. And because everything is local to your browser, no client data ever sits on a third-party server.

Professional invoices that justify the rate

Clients hire VAs on trust, and a clean itemized invoice is part of that trust. Upload your logo once, add a digital signature, and every invoice looks like it came from an agency, not a spreadsheet. Email it straight from your mail app, download the PDF for your records, or send a share-by-link so the client opens a pre-filled copy with no account needed. For international clients, a QR payment code in the on-screen preview with your PayPal.Me or bank details removes the “how do I pay you” friction that delays cross-border payments. The downloaded PDF lists the payment method as text.

Two mistakes that cost virtual assistants money

Reconstructing the month from memory on the 30th. Build the invoice lines as the work happens — inbox block, calendar block, research block. Month-end becomes duplicate, glance, send.

One blended line for a month of mixed work. “VA services: $1,170” invites “doing what, exactly?” Itemize by task type and the invoice answers before the client asks.

How should a virtual assistant structure an invoice?

One line per task or time block at hours × rate, each annotated with the week or task description. Retainer clients get a fixed monthly line plus a separate overage line for extra hours. Itemization is what makes hourly billing defensible.

Can I bill different clients in different currencies?

Yes. The generator supports 35 currencies, and each client’s record stores their currency. Switching between a USD client and a GBP client is just picking the client.

What if a client pays late?

Every invoice carries payment terms (Net 15/30/60 or due on receipt), there’s a late-fee toggle for overdue invoices, and three reminder templates. Gentle, firm, final. You don’t have to write the awkward email from scratch.

Is my client data safe?

It’s stored only in your browser’s local storage. No account, no server, no third-party database holding your clients’ names and rates.
